Quick answer: Low print quality or poor lighting are the most common causes. Try printing at a larger size (minimum 3×3 cm), ensure high contrast (black on white), and test under good lighting. If the QR still won't scan, regenerate it from your dashboard - the link may have changed.

Where should I place my QR code?

The best placements are: on tables or counters at eye level, on receipts or packaging, at the exit or checkout area, on staff name badges, and on menus. The goal is to catch the customer at the peak of their experience - right after service.

In QR Management, open your QR code and click 'Download'. You can download as PNG (for digital use), SVG (for print/scaling), or PDF (print-ready). For large-format printing always use SVG or PDF to keep it crisp.

Go to QR Management → 'Create QR Code' and assign it to a specific staff member. Each staff QR tracks reviews linked to that person, which feeds into your leaderboard. This is great for motivating your team and identifying top performers.

Why didn't the AI reply to a review?

The AI replies are triggered automatically when a new review is synced. If a review wasn't replied to, check: (1) AI Replies are enabled in Settings → AI Configuration, (2) your Google Business Profile is connected, (3) the review is newer than your connection date. Reviews from before you connected won't trigger auto-replies.

How to change tone of voice

Go to Settings → AI Configuration → Tone of Voice. You can choose from presets (Friendly, Professional, Luxury, Playful) or write custom instructions. Changes apply to all future replies. You can also set different tones per business location if you have multiple.

Go to Settings → AI Configuration and toggle 'Auto-Reply' on or off. When off, replies are drafted and queued for your manual approval. When on, replies are posted automatically after a short human-like delay.

Yes. If you prefer manual approval, turn off Auto-Reply in Settings → AI Configuration. All AI-drafted replies will appear in your Reviews dashboard under 'Pending Replies' where you can edit, approve, or discard them before they go live.

The AI is trained to respond to negative reviews professionally - acknowledging the issue, apologising where appropriate, and offering to resolve it offline. You can review the draft before it posts. Never ignore a negative review; a thoughtful response shows other customers you care and often wins back the unhappy customer.

Why am I not receiving reviews?

The most common reasons are: (1) your QR code isn't placed prominently enough, (2) staff aren't mentioning it to customers, (3) your Google Business Profile connection needs refreshing. Go to Settings → Integrations and reconnect Google. Also check the Send Rating Request section to send direct requests to recent customers.

How long do reviews take to appear?

Google typically processes and publishes reviews within a few minutes to a few hours. Occasionally it can take up to 24 hours. If a customer says they left a review but you can't see it, it may still be in Google's moderation queue - this is normal and outside our control.

Can I remove a bad review?

You cannot delete a review yourself. However, if a review violates Google's policies (spam, fake, or inappropriate content) you can flag it for removal through Google. Review Revolution can help you respond professionally to negative reviews, which often has more impact than removal.

Why are my ratings not improving?

Ratings improve through consistent volume of positive reviews over time - not from one or two reviews. Make sure your QR code is active and visible daily, and consider sending rating requests to recent customers. It typically takes 20–30 new positive reviews to shift a rating noticeably.

What is a good review score?

4.5 stars is the current minimum threshold most customers trust. 4.7 or above is considered strong. 4.9+ with high volume is exceptional. Volume matters as much as rating - a 4.8 with 300 reviews is far more credible than a 5.0 with 10 reviews.

Review Revolution offers monthly and annual subscription plans. You are billed at the start of each billing cycle. Annual plans come with a discount. Your plan covers all features for the selected tier, including AI replies, QR codes, and the review dashboard.

How to upgrade or downgrade

Go to Settings → Subscription and select your new plan. Upgrades take effect immediately and you'll be charged a prorated amount for the remainder of your cycle. Downgrades take effect at the start of your next billing period.

How to download your invoice

Go to Settings → Billing → Invoice History. All past invoices are listed there. Click 'Download PDF' on any invoice to save or print it. Invoices include your business details, plan name, and payment breakdown.

How to cancel your subscription

Go to Settings → Subscription and click 'Cancel Plan'. Your access continues until the end of your current billing period. We don't offer refunds for partial months but you'll never be charged again after cancellation. If you're having issues, contact us first - we may be able to help.

QR not working

Problem: QR code scans but nothing happens, or won't scan at all. Cause: Low print resolution or an outdated QR link. Fix: Regenerate the QR from your dashboard and re-download it. Print at minimum 3×3 cm with high contrast. Test with multiple devices before printing in bulk.

Google account not connecting

Problem: Google Business Profile connection fails or disconnects. Cause: Google OAuth session expired or permissions revoked. Fix: Go to Settings → Integrations, disconnect Google, then reconnect. Make sure you're signing in with the account that has admin access to your Google Business Profile.

Reviews not syncing

Problem: New Google reviews aren't appearing in your dashboard. Cause: Sync delay or connection issue. Fix: Go to Settings → Integrations and click 'Sync Now'. If reviews still don't appear after 15 minutes, reconnect your Google Business Profile. Note: Reviews left before your connection date won't appear.

Dashboard not updating

Problem: Stats or reviews look out of date. Cause: Browser cache or sync delay. Fix: Hard refresh the page (Ctrl+Shift+R / Cmd+Shift+R). If the problem persists, log out and back in. If still stuck after 30 minutes, contact support.

Problem: Rating request emails aren't being delivered. Cause: Invalid contact details or delivery provider issue. Fix: Check that the customer's email address is formatted correctly. Check your sending limits under Settings → Rating Requests. If the issue persists, contact support with the customer's details and we'll investigate.

Are incentives allowed?

You can offer perks (discounts, small gifts) to encourage customers to leave feedback - but you must always ask for honest feedback, never a specific star rating. Offering rewards conditional on a 5-star review violates Google's policies. Review Revolution's system is built around requesting honest feedback, which keeps you fully compliant.
